Monitoring System Inspection Guidelines Template

Article 1: To ensure the proper operation and management of the student learning counseling center's monitoring system, fully utilize its functions, prevent improper use, and establish standard operating procedures, these inspection guidelines are formulated.

Article 2: To maintain the safety and normal operation of monitoring system equipment and video data, the staff of this center should pay attention to the following matters:

1. Staff should manage the cameras under their supervision with numbered management; the main unit or monitor should have standard operating procedures explained and should be inspected at least once a week (inclusive).
2. A weekly inspection of the operation of the camera and monitoring equipment should be conducted to ensure normal operation.
3. Staff should regularly check the cameras, transmission routes, and angles to ensure they are not blocked by construction or human interference and to confirm that the monitoring images are clear and not damaged.
4. The minimum retention period for recorded images should be at least ten days (inclusive), depending on the existing hard drives or servers.
5. If staff discover any abnormal conditions, failures, or other issues affecting operation, they should immediately investigate and handle the matter and promptly contact the vendor for repairs or adjustments to maintain normal operation.
6. When staff members change, all operational instructions and maintenance records should be included in the handover.

Article 3: To effectively supervise the operation of this center's camera and monitoring system, and to ensure deficiencies are tracked and improved, the center supervisor should periodically sample the monitoring system to check for normal operation and promptly address any deficiencies.

Article 4: To ensure that the monitoring equipment of this center operates normally and to avoid image loss due to failures and to quickly establish a spare parts mechanism, the outsourcing of planning, construction, and maintenance of the monitoring system equipment may be carried out as necessary.

Article 5: The images recorded and stored by this center's monitoring system can only be requested for review and copying by the parties involved or related parties. The procedures for accessing and copying the recorded video are as follows:

1. The applicant must fill out the "Monitoring System Image Access/Copies Application Form" to submit a request to this center, which will be processed upon approval.
2. If copying is required after reviewing, it must be approved by the center supervisor before the transfer can take place. The requesting unit or individual should provide their own storage media and is prohibited from distribution or circulation.
3. Accessing recorded images should be done during regular administrative working hours; in emergencies, access may be granted at any time.

Article 6: These operational guidelines are supervised and implemented by the Student Learning Counseling Team; any matters not covered may be amended as needed based on actual operations.

Article 7: These operational guidelines will be implemented after being passed by the Student Learning Counseling Team meeting, with the same procedure applying during amendments.
